CatalogLense
Terms
Terms and Conditions
1. Agreement
These Terms and Conditions govern your use of CatalogLense, a mobile app, published by CatalogLense, for library staff who use the Koha Integrated Library System. By installing or using the app you agree to them. If you use the app on behalf of a library, you confirm that you are authorized to do so.
2. What the app does
CatalogLense connects to your library's own Koha server and helps staff catalog books, look up records and patrons, and perform circulation tasks. We do not run that server unless your library has asked us to host it (section 11). Either way it is your library's, and your use of it is also governed by your library's own policies.
The app also uses a CatalogLense account, which we run, to hold your plan and AI credits. It is not tied to any one Koha server: you can save the servers of every library you work for and switch between them.
3. Requirements
The app works only with a Koha server that has its REST API enabled. Your library's Koha administrator must turn this on in the Koha staff interface under Administration → Global system preferences → Web services, by enabling RESTBasicAuth, RESTOAuth2ClientCredentials, or both. The app cannot enable this for you.
Some optional features, such as uploading cover images and showing patron photos, also need a plugin installed on the Koha server. Everything else works without it.
4. Your CatalogLense account
You sign in to CatalogLense with your email address and a code we email you. Each sign-in belongs to one person. Keep access to your email secure: anyone who can read it can sign in as you.
Your plan and credits belong to a library account. It can be named after your library, or after yourself if you catalog for several libraries. Each person belongs to one library account at a time.
The person who creates a library account is its owner. The owner chooses and pays for its plan, invites and removes staff, and can hand ownership to a staff member. Staff use its plan and credits while they belong to it.
5. Plans and AI credits
One AI credit is one book read by the AI. The plans are:
- Free: 15 credits, once, usable for 12 months, or your own Google Gemini or Anthropic Claude key with no credit limit. One person. AI accuracy reports are always on.
- Starter: 100 credits a month. One person.
- Pro: 500 credits a month. The owner and up to 4 staff.
A credit is used when the AI finishes reading a book. A read that fails does not use one; reading the same book again does. Starter and Pro credits are renewed every month, on a yearly plan too, and unused ones do not carry over. Top-up credits, sold on Starter and Pro, can be used for 12 months after purchase. Credits that expire soonest are used first. Credits have no cash value and cannot be transferred to another library account.
The app shows the current price of each plan and top-up before you buy. We may change plans, credit amounts or prices. A price change applies from your next renewal, after the notice the App Store or Google Play requires.
6. Subscriptions and payment
Starter and Pro are subscriptions, and top-ups are one-time purchases, all bought in the app through the App Store or Google Play and charged to that store account. We never see your payment details.
- A subscription renews automatically for the same period (monthly or yearly) unless it is cancelled at least 24 hours before the current period ends.
- The App Store charges for a renewal within the 24 hours before the current period ends; Google Play charges on the renewal date.
- Manage or cancel a subscription in your App Store or Google Play account settings. Deleting the app or your CatalogLense account does not cancel it.
- Moving from Starter to Pro takes effect straight away. Moving from Pro to Starter takes effect at the next renewal.
- Refunds are handled by Apple or Google under their own policies.
When a subscription ends, the library account moves to the Free plan's features. Unexpired top-up credits stay usable. Records already saved to Koha are never affected.
A subscription is billed to the store account of whoever bought it, usually the owner. If ownership moves to someone else, the subscription stays with the buyer's store account, and the new owner subscribes from their own.
7. License
We grant you a personal, non-exclusive, non-transferable, revocable license to use the app for library work. You may not copy, modify, resell, reverse engineer, or redistribute the app except as the law expressly allows.
8. Your Koha account and data
You sign in to each library's Koha with your own staff account or API key there, and you are responsible for keeping those credentials safe and for everything done with them. The records you create are saved to that library's Koha server and belong to that library, not to us. That is also true when we host a library's Koha: its data belongs to the library.
9. AI-assisted cataloging
The app can read book covers and copyright pages with an AI service to suggest catalog data. AI suggestions can be wrong. You are responsible for checking every record before you save it to your catalog.
On the Free plan, sending AI accuracy reports (described in the Privacy Policy) is a condition of use. If you use your own AI key, your use of that provider is also governed by its terms, and any charges it makes are yours.
10. Fair use
Credits are for cataloging into the Koha servers of libraries that have authorized you, as many as you work for. You may not resell credits or access, share one sign-in between several people, create extra library accounts to collect more free credits, or use the app's AI for anything other than reading books. We may suspend an account that does; where we can, we will tell the owner why first.
11. Enterprise services
Enterprise is arranged with us directly, not through an app store, and is set out in a written agreement with the library or organization (for example, a quote it accepts). The agreement sets the price, credits, staff seats, invoicing, and which of the services below are included. Where it differs from these terms, the agreement applies.
Enterprise can include:
- Hosted Koha: we set up and run a Koha server in the cloud for the library. Koha itself is free software; we charge for setting it up, hosting it and supporting it.
- Systems around Koha: other systems we propose and set up to work with the library's Koha.
- Koha plugins: plugins we provide to connect Koha to those systems, each licensed as stated in the plugin.
For hosted Koha, the library keeps ownership of its data and can ask for a full export of its Koha database at any time, and when hosting ends. We handle that data only to provide the service, as the Privacy Policy describes. Service levels, backups, support hours and how either side can end hosting are set in the agreement. The library remains responsible for who it gives Koha accounts to and for what it stores in Koha.
12. Third-party services
The app relies on services we do not control: your Koha server, the AI providers (Google and Anthropic), the App Store and Google Play, public book-data sources such as Open Library, Google Books and the Library of Congress, and, for hosted Koha, the cloud provider that runs it. Their availability and their own terms are outside our control.
13. No warranty
The app is provided "as is" and "as available", without warranties of any kind, to the extent the law allows. We do not guarantee that it will be uninterrupted, error-free, or compatible with every Koha version or configuration, or that the AI will read any given book correctly. An Enterprise agreement may make firmer commitments for the services it covers.
14. Limitation of liability
To the extent the law allows, we are not liable for any indirect, incidental or consequential loss, or for loss of data, arising from your use of the app. Keep regular backups of your Koha database; the app is not a backup tool. If we host your Koha, backups are as your Enterprise agreement sets.
Nothing in these terms limits any right you have that the law does not allow to be limited.
15. Changes and termination
We may update the app and these terms. When the terms change, we will revise the date above, and before a change to your plan, credits or price takes effect, we will tell you in the app. Continuing to use the app after a change means you accept the new terms.
You may stop at any time: cancel any subscription in your store account, then delete your CatalogLense account (Settings → Library account → Delete account, or on the web) and uninstall the app. We may suspend or close an account that breaks these terms.
16. Governing law
These terms are governed by the laws of the Republic of the Philippines.

Terms of Use
Who may use the app
CatalogLense is for library staff, and catalogers working for libraries, who are authorized to use those libraries' Koha. Use it with your own Koha account on each library's server, within the permissions that library has given you, and never share your sign-in details.
Before you start
Your library's Koha server must have its REST API enabled, or the app cannot sign in. In the Koha staff interface, an administrator goes to Administration → Global system preferences → Web services and enables RESTBasicAuth (for username and password sign-in), RESTOAuth2ClientCredentials (for API key sign-in), or both. If you are not the Koha administrator, ask them to do this first.
Acceptable use
You agree to:
- Use the app only for work for the libraries that have authorized you.
- Check AI-suggested catalog data before saving it.
- Handle patron information, including patron photos, according to each library's policies and the Data Privacy Act of 2012.
- Photograph only book covers and copyright pages for AI cataloging.
You agree not to:
- Access records or functions your Koha account is not permitted to use.
- Share your CatalogLense sign-in, or your emailed sign-in codes, with anyone else.
- Use the app to harvest, copy or export patron data for any other purpose.
- Interfere with your Koha server or the services the app connects to.
- Use the app for anything unlawful.
Network and security
Use the app on your library's staff network, not public Wi-Fi, especially when your server uses a plain http:// address. Sign out on shared devices, and report a lost device to your library so its credentials can be changed.
Changes
We or your library may restrict or end your access if these rules are broken. These terms may change; the date above shows the latest version.
The same terms are in the app, under Settings → About & Legal.
